1. Data Collection

Hey Subtitle ('we') values your privacy. We may collect: email addresses, account information, uploaded video content, usage records, and payment information. This data is used solely to provide and improve our services.

2. Data Usage

We use collected data to: provide subtitle transcription and translation services, process payments, send service notifications, improve user experience, and analyze usage.

3. Data Storage

Your data is stored on secure servers. Uploaded videos are retained or deleted based on your plan settings after processing. We use industry-standard encryption and security measures.

4. Third-party Services

We use these third-party services: AI speech recognition and translation (Microsoft Azure OpenAI — your data is not used for model training), AI voice dubbing (your audio files are sent to a third-party service for dubbing processing), Stripe (payment processing), Resend (email delivery), Google Analytics (website usage analysis). These services have their own privacy policies.

5. Cookies & Local Storage

We use cookies and local storage (localStorage) to maintain login sessions and remember preferences (theme and language). We also use Google Analytics to collect anonymous usage data (such as page views and traffic sources) to improve our services. Google Analytics may use cookies to track your interactions. You can manage or disable tracking through your browser settings or the Google Analytics Opt-out Browser Add-on.

6. Content Moderation & Record Retention

To prevent the Service from being misused for unlawful purposes, we retain submission records for the text-to-speech feature. These records comprise the text you submitted, the time of submission, the originating IP address, and the voice selected. They cover the text-to-speech feature only; the videos you upload and the subtitles and translations generated from them are not included. Records are retained for 12 months and deleted automatically thereafter; submissions that were blocked and never generated are recorded in the same way. For the purpose described above, these records are kept until the retention period expires even if you have deleted the item or your account — an exception to the rights described in section 7. They are used solely for our internal review of misuse, never for advertising, analytics, or model training. We do not provide these records to any third party unless required by law. Text submitted to the text-to-speech feature is also screened automatically by Microsoft Azure AI Content Safety.

You have the right to access, correct, or delete your personal data. You can delete your account in account settings, or contact info@heysubtitle.com to exercise your data rights.

Voice Cloning Service

Our voice clone feature creates a cloned voice from your uploaded audio. To protect your rights, please note:

• You must check the consent box before submission, confirming the audio is your own voice or you have explicit authorization from the owner. Consent timestamp is logged.
• Your AI voice clone is for your personal use only; the system will not assign your voice slot to any other user.
• Your voice sample will not be used to train AI models, nor sold to advertisers or third-party marketing partners.
• Audio is encrypted in transit (HTTPS) and stored under strict access control.
• Uploaded audio is transmitted to an AI voice service provider for clone processing. We only retain a local demo MP3 for playback.
• Free trial: the cloned AI voice, local demo audio, and all related records are automatically and fully deleted by our system within 48 hours of creation.
• Paid plan: a cloned voice unused for 30 days triggers email reminder; 37 days unused = automatic deletion (along with local demo file).
• When you delete your account, all cloned voices and demo files are removed, and the voice service provider is notified to free the corresponding slots.
